Repeat Packets

Explanation

Repeat Packets allow users to set up packets that repeat on a specified schedule for clients meeting specific criteria.

Access:

Configuration>Clinical Configuration>Repeat Packets

 

 

Can also search for Repeat Packet by using F1 and typing Repeat Packets in the window.

Repeat Packet Maintenance Window

 

  • Effective Date:  Enter the effective date of the packet repeat action
    1. NOTE:  The RepeatPacketsProcessBeginDate flag overrides the effective date
  • Expiration Date:  Enter the expiration date for the repeat packet; if none exists leave the date blank
  • Category:  Select from the drop down menu:  Client, Program or Fund
    1. Client:  Select this option if you want the process to run for a specific client
    2. Program:  Select this option if you want to process to run for clients in a specific program.
    3. Fund:  Select this option if you want the process to run for clients in a specific fund type.
  • Show All:  Will show all Repeat Packets type both active and expired.

NOTE:

** If the GroupSetupOnRepeatPackets flag is set to FALSE (and the Staff setting are FALSE), then this listing will contain only CLINET

** If the GroupSetupOnRepeatPackets flag is set to TRUE (of the Staff setting is set to TRUE), the the drop down will include Program and Fund, in addition to Client.

Packet Maintenance:

 

  • Repeat Packet:  Select the packet to repeat from the drop down menu
  • Staff Type:  Select from the drop down (Staff, Contact Type, Managing Therapist)
    1. NOTE:  From the secondary drop down field select the applicable Staff to whom the repeat packets will be assigned (If Staff is selected, the secondary drop down menu will be a list of staff names; if Contact Type is selected, the secondary drop down will include a list of contacts.)
    2. **  Staff Type:  Will contain only STAFF if the GroupSetupOnRepeat flag is set to FALSE (and the Staff setting is FALSE)
    3. ** If the GroupSetupOnRepeatPackets flag is set to TRUE (or the Staff setting is set to TRUE), then the drop down will include Contact Type, Managing Clinician (set on the Client Status Update) in addition to Staff
  • Open Forms:  If Yes is selected, when under the Packets tab on the Staff Home and a line is doubled clicked, CT|One will open a packet under the Client Chart, and open the Forms within the packet.  If No is selected, when under the Packets Tab on the Staff Home and a line is doubled clicked, the client chart will open and the packet will need to be added manually.  
  • User Can Cancel:  If Yes is selected, this will allow the user to cancel the assignment of the packet to the client.
  • Remove Duplicate if packet exists in other type:  If Yes is selected, CT|One will not add a second packet if the packet is already in another Repeat Packet Type.
  • Occurs Every:  This allows the staff to select the timing for the re-occurring packets (Month, Week, Day).  Select the number of Month(s), Week(s), Day(s) between assignments.  
    1. For Example:  Once a month from the day of registration, once every two years from the day of the effective date, once a month on the last day of each month, etc.
  • Process Initial Month:  By checking this box, CT|One will process the repeat packet on the initial month for the packet.
  • Generate:  Select the number of days either prior to or after the effective date when the packets will be added to the Staff Home window.

 

The Staff Home Window includes a Packets Tab to identify client packets for staff to access from their home screen.

 

Repeat packet Flag Maintenance:

GroupSetupOnRepeatPackets:  This flag controls the ability of staff to set repeating packets.

  • Set to TRUE, then all staff are limited to setting packets for themselves or single clients.
  • Set to FALSE, then staff can set packets based on agency wide parameters, i.e. program, fund, managing clinician, etc
    1. Staff Overrides Tab
      • TRUE for certain users (typically management / administrative staff
      • FALSE for those staff that need to be limited to setting packet for themselves or individual clients
        • NOTE:  Set this flag to FALSE, then on the Flags window – Staff Override tab, set those staff to TRUE who will have more authority to set repeat packets.

 

RepeatPacketsProcessBeginDate:  This flag controls the date that the Repeat Packet process can be utilized.

  • This date is the begin date for generating Repeat Packet.  Even if the system calculates a packet due prior to the date, it will not generate for staff.

RepeatPacketsRBHA: This flag controls if the RBHA is added to the Category drop down menu

  • Set to TRUE the RBHA will be added as a selection in the Category drop down menu of the Repeat Packet Maintenance window.
  • Set to FALSE, the RBHA will not be a selection in the Category drop down menu of the Repeat Packet Maintenance window.
