Data Export Process - XML Format

The Save toFile Open option saves the file in the old Excel format, XLS. This format haslimitations and restrictions, such as the length of columns, number of rows,etc. 

The Save to XMLoption saves the file in the new Excel XML format and will alleviate thelimitations and restrictions seen with the XLS format. In addition to importingmore data faster, the XML file is a common format that other tools can upload.

 

Exporting intothe XML format is available for all reports. 

Generate thereport data using the same export process by setting your criteria andselecting the Send to Excel option.   

When presented withthe results, select the fields to be exported, select the Export Option: Saveto XML, and click Export.

You will beasked where to save the file and what to name it, and the file type willdefault to XML. 

Click Save togenerate the file. 

 

You will get apop-up when the file is generated- click OK.


Data Import Process - XML Format

Although bothExcel and Libre can import an XML file into a spreadsheet, the best practice isto use Libre. Libre is the method of choice because it is faster and easier touse.

 

OpenLibreOffice Calc.

 

When theworksheet opens, click on Data - XML Source.

 Find thefile you created in the previous step by clicking the Folder icon.

 

Navigate to thefile, select it, and click Open.

A list of thecolumns to be imported will appear in the Map to Document section. Click insidethe box to select the columns. 

Once you haveselected the columns to import, you must select the cell at which you wouldlike the import to start. 

Click on thatcell in the workbook, and that selection will show in the Mapped Cell field onthe right, and that is where the import will begin on the spreadsheet. 

Click Import,and the data will import into the spreadsheet. 

 If youhave Excel installed locally, you can copy the XML file to the local machineand import it into Excel.  

Open an Excelspreadsheet where you would like to import the data.

Click Data >Get Data > From File > From XML

 

Navigate towhere the XML file is saved, select it, and click Import.

Select the datato import from the Display Options menu on the right side, and the left windowwill preview the data selected.

 

Click the downarrow next to the Load button and select Load To from the menu.

 

Make selectionsfor how and where you would like the data loaded.

 

Click Ok, andthe data will load into the spreadsheet.
